Receptionist - Head Office

Job purpose
This newly created role will report into the Head of People -VC and Shared Services, their role will be to be the first point of contact and the face of the support office, providing a warm, professional welcome to all team members and visitors. The role is responsible for creating a positive first impression and supporting the smooth, efficient running of the office environment.
Responsibilities
- Act as the first point of contact for all visitors, providing a professional, friendly welcome and ensuring visitors are signed in and hosted appropriately.
- Maintain high standards in all kitchen and refreshment areas, ensuring they are clean, tidy, well‑organised and fully stocked at all times.
- Manage incoming and outgoing post, including sorting, distributing internal mail and arranging external dispatch.
- Receive, log and oversee all deliveries and collections, ensuring items are directed to the correct teams and stored safely where required.
- Order, monitor and maintain stock levels of office stationery and kitchen supplies, ensuring availability and cost‑effective purchasing.
- Maintain a tidy, well‑presented and professional reception and office environment at all times.
- Oversee general office facilities, promptly reporting or escalating any maintenance, cleaning or facilities issues.
- Ensure the office environment is free from hazards, carrying out regular visual checks and escalating health and safety concerns.
- Conduct and record the weekly fire alarm test, escalating any faults or issues in line with health and safety procedures.
- Support wider People or Office teams with ad‑hoc administrative tasks as required to ensure the smooth running of the Head Office.

- Identify and report any health and safety hazards promptly.
- Complete and record the weekly fire alarm test accurately and on time.
- Provide reliable day‑to‑day support to the office as required.
